Privacy Policy

This Privacy Policy explains how HailShopWare (“we,” “us,” or “Platform”) collects, uses, discloses, and protects information when you use hailshopware.com and related services (the “Services”).
1. Who we are; roles
- Shop accounts (tenants): When a repair shop uses HailShopWare, that shop is typically the business / controller for its customer and job data. We provide software and act as a service provider / processor for that shop data.
- Platform account data: For shop owners, team members, billing contacts, and marketing subscribers to HailShopWare itself, we act as a business / controller.
- End customers of shops: If you are a vehicle owner interacting with a shop’s portal, signing forms, or receiving emails from a shop through our tools, the shop is primarily responsible for that relationship. We process that data to operate the Services for the shop.
2. Information we collect
We collect information that you (or a shop) provide, and information generated by use of the Services, including:
- Account identifiers (name, email, phone, shop name, address, role)
- Job / lead / customer records entered by shops (vehicle, VIN last digits, insurance, claims, signatures, documents)
- Communication preferences and consent checkboxes (contact acknowledgment, status email opt-in, marketing opt-in)
- Billing and subscription metadata via Stripe
- Technical data (IP address, approximate country when available from hosting headers, device/browser metadata, logs)
- Emails and related delivery events when messages are sent through our email providers
We may infer or store a country / region code from network headers when available, to help apply spam and privacy rules (for example, CAN-SPAM, CASL, and GDPR-style marketing restrictions). If country cannot be determined, we may block marketing sends as a protective default.
3. How we use information
- Provide, secure, and improve the Services
- Authenticate users and manage shop tenancy
- Process subscriptions and prevent fraud/abuse
- Send transactional messages (verification, password reset, signature requests, job status when opted in)
- Enable shops to send emails only where consent and platform rules allow
- Comply with law and enforce our Terms
4. Does HailShopWare sell your data?
HailShopWare does not sell personal information for money. We do not rent shop customer lists to data brokers. We use data to operate the platform and as described in this Policy. If a U.S. state law defines “sale” or “share” more broadly (for example, certain advertising-related disclosures by our payment vendor), those practices—if any—are described for that vendor below. You may email contact.dallasreeldeal@gmail.com to request access, deletion, or opt-out where applicable law provides those rights.
5. Service providers that process data for us (looked up for accuracy)
We use reputable infrastructure vendors. They collect and process data as needed to provide their services. Their public policies (as of our last review) state the following about selling data:
- Google Firebase / Google Cloud — Authentication, database (Firestore), file storage, hosting infrastructure. Google states it does not sell Firebase/Google Cloud Service Data to third parties, and does not “share” Service Data as defined under the CCPA. Google generally acts as a data processor / service provider for customer data you store in Firebase. Vendor policy
- Resend — Transactional and shop/customer email delivery. Resend states it does not sell or rent personal information to third parties. For customer email content and recipient data, Resend generally acts as a service provider / processor under its DPA. Vendor policy
- Stripe — Subscription billing and payment processing. Stripe states it does not transfer personal data to third parties in exchange for money. Stripe discloses that sharing certain data with advertising/analytics partners for Stripe’s own marketing may be considered a “sale” or “sharing” under CCPA. End-customer payment data is typically processed as a service provider for the business. Vendor policy
Important: Saying a vendor “collects” or “processes” data is not the same as saying they “sell” it. Firebase/Google Cloud and Resend publicly state they do not sell the relevant customer/service data. Stripe publicly states it does not sell data for money, while noting that some advertising-partner disclosures may be “sale/sharing” under CCPA for Stripe’s own marketing—not for your shop’s customer repair lists.
6. Shop responsibilities
Your shop owns its customer list and CRM records. HailShopWare hosts and processes that data to provide the software and does not sell identifiable customer lists. Shops must present required communication consent checkboxes, obtain lawful consent, honor opt-outs, and use customer data ethically and legally. When a shop sends an estimate or marketing message, the shop—not HailShopWare—obtained consent. HailShopWare is not the shop’s attorney and does not guarantee compliance for a shop’s outbound marketing. See our Data Processing Addendum.
7. Aggregated analytics
We may use de-identified / aggregated statistics (for example average repair times by region or insurer patterns that do not identify individuals) to improve the product and, where you agree in the Terms, to support benchmarks or AI features.
8. Retention & security
We retain information while accounts are active and as needed for legitimate business, legal, and security purposes. We use industry-standard controls (including encryption in transit to our services and access controls), but no method of transmission or storage is 100% secure.
9. Your choices
- Marketing unsubscribe: Unsubscribe
- Shop customers: use portal consent options or contact the shop
- Privacy requests: email contact.dallasreeldeal@gmail.com with “Privacy request” in the subject
10. Children
The Services are not directed to children under 16. We do not knowingly collect their data.
11. Changes
We may update this Policy. Continued use after the effective date constitutes acceptance of the updated Policy where permitted by law. See also our Terms of Service.
